Role Summary
Client Operations Specialist (all genders)
Do you like to get things done before they even become a problem? Do you keep track of confusing processes while others have long since lost track, and do you enjoy drawing the right conclusions from data? As a Client Operations Specialist, you will ensure that our (funded) training programs run smoothly and, together with the team, you will maintain one of our most important KPIs – the graduate rate – at a high level.
You accompany participants on their learning journey and ensure that our customers achieve their training goals and have the best possible learning experience with us. You will work closely with sales, coaching, learning and engineering, use dashboards for data-based decisions and take independent responsibility for projects that make our processes a little better every day.
Focus of your role
- Participant accompaniment & support: You accompany participants organizationally through the entire training cycle - from onboarding to completion. You answer support requests reliably and identify abandonment risks early on.
- Processes & Automation: You ensure smooth processes, continuously optimize them and identify automation potential to increase the efficiency of internal processes and further develop our workflows
- Coordination & interface: You are a communication interface to participants and relevant stakeholders (e.g. sales, coaching, learning, engineering)
- Data work & dashboards: You work in a data-oriented manner and use dashboards every day to control your tasks and make decisions.
- Project responsibility & agility: You take on projects independently, define key results and work flexibly in changing processes.
This is what you bring with you
- Completed studies (e.g. business administration, business informatics or comparable) or comparable qualification as well as a good understanding of data and the sensible use of AI to automate and optimize processes
- Technical affinity and quick familiarization with administrative tools; ideally first experience with Asana, HubSpot/CRM, Slack, and LMS (Learning Management System)
- You have a genuine interest in data and AI topics and naturally use AI tools (e.g. Claude, ChatGPT, Copilot) in your everyday work to optimize processes and communication.
- Strong communication skills and empathy when dealing with participants, customers and colleagues (e-mail, telephone, webinar/meeting)
- Independent, responsible way of working, high self-motivation, team spirit and enjoyment of agile methods
- Advantage: Experience in customer service, customer success or participant support, ideally in an educational or SaaS environment.
- Very good knowledge of German (min. C1) and good knowledge of English
