Role Summary
📋 Tasks and responsibilities
Within an internal Brand Management & Creative Studio, as part of the Communications department, you will contribute to the design and rollout of a pilot project around planning and traffic management. The team develops creative concepts and assets for online and offline communication, including copywriting, graphic design, photography, video, newsletters and social content.
In this role you investigate how planning, collaboration and operational flow can be further optimized. You map the current operation, develop a sustainable structure for processes, tools and roles, and then test that approach in practice yourself. You take on a driving and coordinating role.
You help build a smooth and efficient workflow, so that assignments from briefing to delivery proceed correctly, on time and within the set guidelines. This way you create space for creative employees to focus maximally on their core task, while internal stakeholders receive faster and better support.
This role does not include
formal leadership, creative elaboration or creative management.
Responsibilities
- Analyze and document current operations regarding planning and traffic, including collaboration with internal stakeholders.
- Develop a sustainable and cost-efficient structure for processes, tools and roles within the studio.
- Introduce, test, evaluate and adjust the new structure where necessary.
- During the test phase, act as a central point of contact for managers, internal customers and creative profiles.
- Draw up, monitor and optimize the project planning for current assignments.
- Translate briefings into concrete timelines, deliverables and capacity estimates.
- Determining priorities at peak loads and making decisions when necessary.
- Mapping the capacity of creative employees and allocating them in a targeted manner.
- Help provide additional support when internal capacity is insufficient.
- Provide planning coordination with creative teams, managers and internal stakeholders.
- Facilitate stand-ups, weekly schedules and status updates.
- Ensure clarity about responsibilities, deadlines and preconditions.
- Manage and help optimize supporting planning tools.
- Making the link from planning and traffic to budget follow-up and cost control.
- Proactively formulate improvement proposals for the operational flow and for planning and traffic.
- If necessary, support the transition between the test setup and the final working method.
Requirements
- You have experience in a creative agency, studio or production environment.
- You have demonstrable experience with planning and traffic management, ideally in a similar context.
- You work smoothly with various planning tools.
- You have experience with cost calculation, timing and workload management.
- You have a solid background in project management.
- You can efficiently facilitate stand-ups, planning moments and status meetings.
- You communicate strongly and convincingly: clearly, empathetically and to the point.
- You have experience with process analysis and process optimization.
- You understand how creative profiles such as content creators, copywriters and graphic designers work.
- You can communicate easily with stakeholders and feel comfortable in a steering, coordinating role without formally leading.
- You must attach a document with your application with an example of a previously developed process flow.
