We are looking for a Sales Coordinator to join our Lightspeed Golf team. As part of the Go-to-Market Operations team and working closely with the Business Transformation team, this role contributes to the day-to-day operations of the Golf business and helps advance key initiatives. Responsibilities
- Collaborate closely with management and cross-functional teams to identify improvement opportunities, optimize processes and support the implementation and adoption of tools that enable sales and customer management teams to work more efficiently.
- Review closed and won opportunities to ensure compliance with the requirements of the legal, finance, information systems and internal GTM teams, while validating data related to transactions, pricing, products, discounts, billing terms, tax information and customer details.
- Maintain accurate and complete records in Salesforce and other operational systems (primarily HubSpot), including processing CRM corrections, account updates, asset adjustments, account associations and other data changes.
- Support the end-to-end operational process, from closing the sale to provisioning, implementation, invoicing and ongoing account management.
- Support the accuracy of rate adjustments for customers by opening requests and following up once new rates are applied, in collaboration with the account management team.
- Verify that sold products, add-ons, integrations and third-party services are correctly configured and billed, while reviewing account activity to identify potential revenue losses.
- Investigate delayed, missing or incorrect billing events and coordinate resolution with Billing, Finance, Product, Engineering and Account Management teams.
- Monitor the evolution of additional sales and new business to ensure that no opportunity is lost between the conclusion of the sale, provision, implementation and invoicing.
- Analyze trends related to customer irritants, attrition and growth, then recommend actions.
- Answer customer questions regarding billing and payments or route them to the appropriate internal team.
- Facilitate transaction management and account provisioning for reseller and partner-generated opportunities, as well as account deactivation and maintenance activities for terminated, canceled or modified services.
- Develop and maintain dashboards, tracking tools and reports to provide visibility into transaction times, billing status, pending operational tasks, exceptions and team performance.
- Create and improve request forms, workflows, checklists and operational procedures to reduce manual work and improve operational controls.
- Identify process bottlenecks and gaps, then collaborate with stakeholders to implement scalable improvements.
- Support the deployment of new products, integrations, billing processes and operational tools.
- Contribute to special projects and broader GTM initiatives as priorities evolve.
Requirements
- Experience in a fast-paced operations, sales support, customer service, billing, payments, CRM administration (HubSpot preferred) or systems operations environment.
- Strong attention to detail and demonstrated ability to maintain accurate customer, business and financial data.
- An ability to investigate operational issues, understand systems and process flows, and identify root causes.
- Excellent organizational skills and the ability to manage multiple priorities, demands, deadlines and stakeholders simultaneously.
- Comfortable working with technical and non-technical teams in a constantly evolving environment.
- A proactive, resourceful, problem-solving mindset with the confidence to ask questions and investigate further when information is incomplete.
- Good judgment in handling confidential customer, financial and business information.
- Experience with Salesforce, billing or payment processing, SaaS solutions or reporting tools is a strong asset.
