Role Summary

The Purchasing Agent is responsible for acquiring requirements by location and verifying, preparing and submitting purchase orders; communicate with Suppliers and validate receipt of items/services and resolve payment issues.

Responsibilities

  • Complies at all times with the SGS Code of Integrity and Professional Conduct.
  • Verifies material/service needs by location and creates requests using the best price and supplier, clarifying unclear items and recommending alternatives.
  • Search available products to find the best combination of quality, price and delivery.
  • Track purchase orders by verifying the product/service, expected arrival time and price; Obtain recommendations from suppliers on substitute items and cross-check with specified department.
  • Schedule optimal delivery and monitor and expedite orders when necessary.
  • Verify receipt of items by comparing items received with orders; resolve blockages and errors in shipping with suppliers and/or the carrier.
  • Verify invoice and payment with suppliers and cross-functional teams.
  • Create purchase orders based on supplier invoices.
  • Accomplish the purchasing and organizing mission by completing desired results as necessary.
  • Collect, analyze and summarize data and trends.
  • Maintain detailed and accurate information accessible in Sharepoint for management.
  • Engage and update job knowledge through participation in educational opportunities.
  • Participates in special projects, other duties or vocational training, education or development as needed.
  • Build trust by responding promptly to all inquiries, whether by phone or email.
  • Promotes a positive attitude and safe work environment.
  • Know and comply with SGS procedures and standards; Meet all SGS standards.
  • Adopts and supports specific operational improvement activities communicated by the GBS team leader, supervisor or manager. These projects will focus on quality improvement, efficiency, accreditation, communication and technical improvement.
  • Ensures that the work area at GBS is always kept clean and presentable.

Requirements

  • University degree or equivalent required.
  • A B2+ level of English is required, with good oral and written communication skills to work effectively and collaborate internally.
  • 3-5 years of purchasing experience required.
  • 2+ years of accounts payable experience preferred; Knowledge of the operation and processes of the Oracle accounts payable system will be an advantage.
  • Microsoft Office proficiency.
  • Good organizational skills and ability to multitask in a fast-paced environment.
  • Great leadership skills, own initiative, use of resources, excellent problem-solving and time management skills; ability to meet deadlines.
  • Ability to read and interpret documents such as safety standards, operating and maintenance instructions, and procedure manuals.

Active listening skills and excellent customer service skills

  • Ability to present information effectively in individual and small group situations to employees of the organization.
  • Substantial movements (movement) of the wrist, hands and/or fingers on a repetitive basis.
  • You must have strong analytical and mathematical skills and pay attention to details.

  • Excellent communication skills and professional attitude with suppliers and stakeholders.
  • Effective skills in building relationships and coordinating with multiple locations, management and vendors as required.
