Role Summary

The Solutions Proposal Automation Specialist supports the development of clear,

accurate, and compelling solution proposals by translating client needs, meeting feedback, and product capabilities into well-structured scopes of work and proposal materials. This role is highly client-facing and regularly engages with executive leadership and other stakeholders, requiring exceptional written and verbal communication skills in English. The ideal candidate is comfortable using AI tools such as ChatGPT or similar models to improve productivity, organize information, draft content, and refine proposal outputs. A strong command of Microsoft Word, Excel, and PowerPoint is essential, along with the ability to understand technical products at a baseline level and categorize devices or services into relevant solution groupings. This position is well suited for a detail-oriented professional who can balance professionalism, responsiveness, and structure in a fast paced environment.

Participate in client-facing calls with executive leadership and other stakeholders to gather requirements, clarify expectations, and capture meeting outcomes.

Translate discussion notes, discovery input, and product information into clear scopes of work, proposal content, and structured solution documents.

Draft, edit, and format proposals, presentations, executive summaries, and supporting documentation using Microsoft Word, Excel, and PowerPoint.

Use AI tools such as ChatGPT or similar platforms to support research, content organization, summarization, drafting, and refinement of proposal materials.

Review product and service offerings to ensure accurate alignment with client requirements and internal solution categories.

Organize feedback from meetings into actionable proposal inputs, identifying assumptions, dependencies, and scope considerations.

Work with cross-functional teams to gather information needed for proposals, including technical, operational, commercial, and service-related inputs.

Maintain consistency, quality, and accuracy across all proposal deliverables and ensure submissions meet required deadlines.

Support the categorization of devices, services, or solution components based on baseline IT knowledge and business needs.

Track proposal progress, manage version control, and help maintain organized records of drafts, revisions, and final submissions.

Bachelor’s degree in Business, Communications, Information Technology,

Marketing, or a related field, or equivalent practical experience.

Strong written and verbal English communication skills, with the ability to communicate clearly and professionally in client-facing and executive-level settings.

Experience in proposal development, sales support, solution coordination, bid management, pre-sales, or a related role.

Proficiency in Microsoft Word, Excel, and PowerPoint.

Working knowledge of AI tools such as ChatGPT or similar large language models, with the ability to use them responsibly to improve productivity and content quality.

Ability to understand technical product offerings at a foundational level and categorize devices or services into appropriate groups.

Strong attention to detail, organizational skills, and the ability to manage multiple deliverables under deadlines.

Ability to synthesize meeting notes and stakeholder feedback into structured scope documents and proposal language.

Professional presence and confidence in interacting with stakeholders at varying levels of seniority.

Experience working in a solutions, pre-sales, or business development support environment.

Familiarity with IT products, managed services, devices, or technology solution categories.

Experience creating executive-level presentations and proposal documents for external audiences.

Exposure to scope development, statement of work preparation, or requirements documentation.
