Role Summary

Your main areas of activity

• Materials management & logistics
• Material orders, appointment tracking and incoming goods inspection
• Project-specific picking as well as storage and shipping organization
• Coordinating RMA returns
• Project support & process control
• Close collaboration with project management in planning and coordinating technical services
• Monitoring project schedules, KPIs and progress documentation
• Participation in project meetings including measurements, documentation and follow-up
• Communication & interface management
• Administrative interface between customers, technicians and subcontractors
• Processing access applications and QHSE-relevant processes
• Documentation & Administration
• Creation and maintenance of project and acceptance documents as well as technical dossiers
• Maintenance of project documents in the ES Office
• Preparation of billing and control of hourly and material bookings
• Assist with travel bookings and administrative tasks for the technical team
• Creation of system descriptions and implementation of VdS attestations

Responsibilities

As a project coordinator (m/f/d), you take on a central role between project management, the technical team, customers and suppliers. Your goal: to ensure a smooth project process.

Requirements

What you bring with you

• Completed commercial training (e.g. industrial clerk, office management clerk) or comparable qualification
• Experience in project assistance, order processing or operational administration desirable
• Knowledge of materials management, logistics processes and merchandise management systems
• Confident handling of ERP/ESO systems or motivation to learn the ropes
• Good MS Office skills, especially Excel
• Basic knowledge of documentation, test documents and acceptance processes

Technical understanding, ideally from crafts, construction, safety technology or similar.

• Good knowledge of spoken and written English
• Experience in project management or large projects is an advantage
• Knowledge of VdS standards desirable
