Role Summary
This is a remote job position.
+Position and Purpose
Administrative Assistant
The purpose of this position is to support and control activities such as accounting (basic to intermediate level), personnel and business administration, customer collection, payment and monitoring of suppliers, etc., in order to meet financial and administrative sustainability and productivity objectives.

Directly: Administrative Financial Manager
Indirectly: Administrative Manager
Responsibilities
- Organize and store company documents (physical - if necessary - or electronic), which are delivered to you for filing and control, keeping this information on hand for when it is requested.
- Manage suppliers: Register in systems, file contracts and maintain the PIP'S and legal Matrix, according to USN documentation and SGS requirements.
Manage assigned accounting activities
- Documentation and registration of accounting receipts
- Run accounts receivable and payable
- Billing (receiving and shipping)
- Sending information to an external accountant for Tax returns, as assigned by the FAD Management
- Support with the coordination of administrative matters, such as tours, trips, appointments, calls and general procedures for Management.
- Upload the payroll payment files to the electronic bank branch. Assist with the payroll payment process, as required.
- Make the report of payrolls to the social security institutions: C.C.S.S., I.N.S.
- Execute the business partner incentive review and payment process.
- He is responsible for managing and processing the payment of sales commissions, according to Sales and Post-Sales reports.
- Execute the activities assigned for the internal Personnel Entry process.
- Execute collection management processes for business partners and clients.
- Support with administrative functions of Human Capital, such as updating information, control of files and personnel documentation in general, among others related to the position, as requested.
- Execute the procedures of the projects assigned to them, for example, Nielsen, identifying opportunities for process improvement and/or also proposing corrective actions, when and as appropriate.
- Attend the training assigned to you and comply with the minimum grade required to pass each training, when required.
- Carry out the performance evaluations assigned to you, in the established periods.
- Perform any other function or role that, by virtue of technological, operational or administrative needs, is assigned via directive, direct communication or memo, and that does not contravene the functions of their job position in the company.
- Fulfill the role of Internal Auditor, when required and agreed.
- Comply with and enforce the organization's policies, standards, guidelines, processes and/or procedures at all times, including what is required by the USN Quality Management, to also ensure compliance with the ISO standard.
